When Stripe is connected to RouteNio, every invoice you send to a client includes a Pay Now button. The client clicks it, enters their card details on a Stripe-hosted checkout page, and the payment is captured immediately - no phone calls, no manual bank transfers to chase.
You'll need a Stripe account to use this feature. It's free to create at stripe.com. Stripe charges a payment processing fee on each transaction (typically 1.7–2.9% + a fixed fee depending on your country and card type). This fee is separate from your RouteNio subscription.
Step 1 - Open Stripe Integration Settings
- Navigate to Settings in the left sidebar.
- Click Integrations.
- Find the Stripe card and click Connect Stripe.
Step 2 - Authorise RouteNio with Stripe
- You're redirected to Stripe's OAuth authorisation page.
- Log in to your existing Stripe account, or click Create account if you don't have one yet.
- Complete Stripe's onboarding if prompted (business details, bank account for payouts).
- Click Authorise access to grant RouteNio permission to create and manage payments on your behalf.
- You're redirected back to RouteNio - the Stripe card now shows Connected with a green status indicator.
Stripe starts in Test Mode - no real money moves in test mode. Use the test card number 4242 4242 4242 4242 to verify the end-to-end flow. Switch to Live Mode in your Stripe Dashboard when you're ready to accept real payments.
Step 3 - Configure Payment Settings (Optional)
After connecting, you can configure:
| Setting | Description |
|---|---|
| Currency | Defaults to your company's currency (from Company Info). Change in Stripe Dashboard. |
| Statement Descriptor | The text that appears on your client's bank statement (e.g., "ROUTENIO - ACME TRANSPORT") |
| Receipt Emails | Stripe can auto-send a payment receipt to your client - enabled by default |
What Happens After Connection
For Every Invoice You Send
- The invoice email includes a prominent Pay Now button.
- Clicking it opens a Stripe-hosted, SSL-secured checkout page.
- The client enters their card details and clicks Pay.
- Payment captures instantly.
- RouteNio automatically:
- Records the payment against the invoice
- Updates invoice status to Paid
- Sends a receipt to the client
- Logs the payment in your Payments history
In the Client Portal
Clients who log into their Client Portal can view all their invoices and pay outstanding ones directly from the portal without needing to receive an email.
Companies using Stripe with RouteNio report up to 40% faster payment collection compared to bank transfer only. The single biggest reason: clients can pay in 30 seconds on their phone rather than having to log into their bank.
Viewing Payments
All Stripe payments appear in:
- Invoices → click any paid invoice to see payment date, amount, and Stripe transaction ID
- Payments in the left sidebar → full payment history with export to CSV
- Your Stripe Dashboard → full transaction details, payouts, and dispute management
Disconnecting Stripe
To disconnect:
- Go to Settings → Integrations → Stripe.
- Click Disconnect.
- Existing payment records are retained in RouteNio - only future payment links are deactivated.
If you use Stripe for your RouteNio subscription payments, disconnecting the integration does not cancel your subscription. Subscription billing is managed separately through the Billing section.
Troubleshooting
| Issue | Solution |
|---|---|
| Redirected to Stripe but stuck on "Authorising" | Disable browser extensions (particularly ad blockers) and try again |
| Stripe shows Connected but Pay Now not appearing on invoices | Hard refresh the browser - the setting propagates within 1 minute |
| Payment failed for a client | Ask the client to try a different card or contact their bank |
| Payouts not arriving | Check Stripe Dashboard → Payouts for any verification requirements pending |
| Test payments working but live payments failing | Ensure Stripe account is fully verified - Stripe may hold live payments until identity verification is complete |
