RouteNio uses role-based access control (RBAC) to ensure every user sees only what they need. Seven distinct roles power the platform.

What Each Role Can Access
Admin
Full access to every module, setting, and record. Can manage users, billing, branding, and all operational data. Every company must have at least one Admin.
Limited User
Operational access covering: Jobs, Fleet, Timesheets, Invoicing, Compliance, Analytics. Cannot access: Billing, User Management, or company Settings.
Use Custom Permission Profiles to fine-tune exactly which modules a Limited User can see, edit, or manage.
Fleet Operator
Field-facing role for drivers, captains, pilots, and riders. Access via the Fleet Operator Portal or mobile app. Can view assigned jobs, submit timesheets, complete runsheets, capture POD, and log fatigue.
RouteNio supports 14 fleet types - trucks, boats, aircraft, and more. The term Fleet Operator covers drivers, captains, pilots, and riders under one universal role.
Managing Users and Invitations
- Navigate to Users → Add User and enter the person's name, email, and role.
- For Fleet Operators, optionally fill in license details, certifications, and accreditation.
- Save - RouteNio sends a welcome email with a secure link to set their password.
- The user clicks the link, sets their password, and they're in. Links expire after 7 days (resend from the Users page).
Onboarding a large team? Use CSV import. The template includes columns for name, email, role, phone number, and license number. Upload once, onboard dozens.

Fleet Operator and Client users do not count toward your seat limit.
Custom Permission Profiles
For companies that need fine-grained control, create custom permission profiles - reusable templates that standardise access across your team.
- Go to Settings → Roles & Permissions and click "Create Profile".
- Name your profile (e.g., "Dispatcher", "Accounts Officer", "Compliance Manager").
- Set access levels for each module: No Access, View Only, Edit, or Full Control.
- Assign the profile to any Limited User. Their permissions update instantly.
Admin and Fleet Operator roles cannot be customised - their permissions are fixed by the system for security. Only Limited User roles support custom permission profiles.
Deactivation, Not Deletion
When a fleet operator leaves, set their status to Inactive. They can't log in, but all historical records (timesheets, jobs, compliance entries) are preserved for audit. Reactivate anytime.
