Accurate time tracking is the foundation of fair pay and profitable operations. RouteNio's Timesheets module captures every hour worked, calculates pay automatically, and links time to specific jobs for precise costing.
Recording Time Entries
Fleet operators submit timesheets via the Fleet Operator Portal or mobile app:
- Enter Start Time, End Time, and Breaks.
- RouteNio automatically calculates total hours worked by subtracting breaks.
- Optionally link the entry to a specific Job for accurate cost tracking.
- Admins review, approve, or reject entries from the Timesheets page.
Admins can also create entries on behalf of fleet operators for retrospective recording.
Automatic Shift & Day Detection
Fleet operators just enter start and end times - RouteNio automatically classifies everything:

Public holidays are pre-loaded for Australia, New Zealand, US, UK, and Canada. Add custom holidays under Settings → Public Holidays.
Overtime Calculation
RouteNio calculates overtime automatically based on your Pay Settings:
Hours 1–8: Base Rate
Hours 8–10: OT1 (e.g., 1.5×)
Hours 10+: OT2 (e.g., 2×)
Weekend and public holiday rates apply different multipliers for all hours on that day.
Approval Workflow
Fleet Operator Submits → Pending → Admin Reviews → Approved or Rejected → Payroll Export
- Pending - Submitted, awaiting review. Auto-calculated pay visible to admin.
- Approved - Locked and ready for payroll. Fleet operator can no longer modify.
- Rejected - Returned with a reason. Fleet operator resubmits a corrected entry.
The summary bar shows total pending entries, total approved hours, and estimated payroll cost for the current period - approve batches with a single click.
Job-Level Costing
Link timesheets to specific jobs to see exactly how many hours each job consumed. This data flows into job profitability analysis and helps you price future work accurately.
