Driver assignment links a job to a specific fleet Driver and Vehicle, triggers mobile notifications, and ensures compliance checks are passed before dispatch. RouteNio surfaces Fatigue Management status, licence validity, and Vehicle availability in real time so you can assign with confidence.
The job must be in Pending status and a Driver must have an active account in your company. If no Drivers are set up yet, see Invite Users first.
Step 1 - Open the Job
- Navigate to Jobs and click the job you want to assign.
- The job detail panel opens on the right.
- Click Assign Driver (shown in the top action bar or in the Assignment section).
Step 2 - Select a Fleet Operator
The Driver selection dropdown shows all fleet operators in your company with real-time status indicators:

| 🟡 Caution | Approaching Fatigue Management limits or has a credential expiring within 30 days |
| 🔴 Unavailable | On another job at the same time, or Fatigue Management/credential breach |
| ⚫ Off Roster | Not scheduled to work on this date per the Roster |
Drivers flagged Unavailable due to Fatigue Management or expired credentials cannot be assigned. This is a hard safety gate - it cannot be bypassed without supervisor override (if your subscription tier allows it).
- Select the Driver from the dropdown.
- Review the displayed summary: current hours worked, next required break, credential expiry dates.
Road compliance checks shown per operator:
- Heavy Vehicle National Law (HVNL) work/rest hours - hours driven today vs. daily limit
- Current Heavy Rigid (HR) / Heavy Combination (HC) / Multi-Combination (MC) licence class
- Medical certificate expiry date
- Dangerous Goods (DG) licence - if the job involves DG cargo
Aviation compliance checks shown per Pilot:
- Flight Duty Period (FDP) remaining today vs. CASA Part 48 / FAA Part 117 limits
- Cumulative flight hours: last 24 hrs / 7 days / 28 days / 90 days
- Class 1 or 2 Medical Certificate expiry
- Type rating validity for the assigned aircraft type
- Recent recency check - passenger carrying currency (3 takeoffs/landings in 90 days)
- ASIC (Aviation Security Identification Card) expiry
If assigning this Pilot would breach their FDP limit for the day, a hard block is shown. You cannot confirm the assignment until either the FDP resets or a second-in-command (SIC) is added to share the FDP.
Marine compliance checks shown per crew member:
- STCW Certificate of Competency - class and expiry date
- AMSA Certificate of Survey for the assigned vessel class
- Medical Certificate (ENG1 or equivalent) expiry
- MARPOL and ISM Code training currency
- Port State Control inspection status
Mining & Construction compliance checks shown per operator:
- Site induction currency for the assigned site - Hard Block if expired
- High Risk Work Licence (HRWL) class matching the Vehicle type (e.g., DG for dozer, CN for crane)
- Drug & Alcohol test date - configurable alert if more than N days since last test
- Working at Heights / Confined Space certification expiry
Medical compliance checks shown per transport crew:
- Current First Aid / CPR certificate (must be ≤ 2 years old)
- NDIS Worker Screening Clearance - status (Approved / Pending / Expired)
- Driver Authorisation for NEMT / Patient Transport (state-specific)
- Advanced Life Support (ALS) or Basic Life Support (BLS) certification level - shown for context
Step 3 - Select a {{asset_term}}
The Vehicle dropdown is filtered to show only assets that are:
- Available on the job date (not assigned to another job)
- Compliant - service due date not exceeded (Pre-Start Check passed)
- Compatible - suitable for the job's cargo type (e.g., refrigerated, tail-lift)
- Select the Vehicle from the dropdown.
- The Vehicle's registration, capacity, and next service date are shown for confirmation.

Step 4 - Select a Trailer (Optional)
If your fleet type supports trailers (e.g., semi-trailers, refrigerated trailers):
- The trailer dropdown appears automatically for compatible fleet types.
- Select the trailer from the list - only trailers not currently attached to another Vehicle are shown.
Step 5 - Confirm Assignment
- Review the summary: Driver name, Vehicle registration, trailer (if selected), and job date/time.
- Click Confirm Assignment.
What Happens Immediately
- The fleet operator receives a push notification on their mobile app with the job details.
- The job status updates from Pending to Assigned.
- The Vehicle is marked as Reserved for the job date/time window.
- A Google Calendar event is created (if Google Calendar integration is connected) in the Driver's linked calendar.
- The job appears on the Dispatch Board and Live Map.
Changing an Assignment
To reassign a job to a different Driver:
- Open the job and click Reassign.
- Select the new Driver and/or Vehicle.
- Confirm - the original Driver is notified of the change, and the new Driver receives their assignment notification.
Jobs already started (status = In Progress) can still be reassigned. The original Driver is notified and loses access to the job in their app. Use this for breakdowns or no-show situations.
Troubleshooting
| Issue | Solution |

| Driver not appearing in dropdown | Check the Driver has the Fleet Operator role and is active |
| All Vehicles showing as unavailable | Check the Vehicle's service records - an overdue service blocks assignment |
| Assignment notification not received | Ask the Driver to check their mobile app notification permissions |
| Can't assign - Fatigue Management override needed | Contact your supervisor with override permissions |
