This is the fastest and most accurate way to invoice in RouteNio. Completed jobs already contain all the data needed for billing - client, rates, distances, and any extras - so the invoice is pre-built for you. All you need to do is review and send.

💡 Why Use This Instead of Manual Invoicing?

Job-based invoices pull the agreed rate from the route or job configuration, so you never under-charge or manually re-enter data. They also link the invoice back to the job for a complete audit trail.

Step 1 - Filter for Uninvoiced Jobs

  1. Navigate to Jobs in the left sidebar.
  2. Click the Invoice Status filter at the top of the list.
  3. Select Uninvoiced - the list now shows only completed jobs that haven't been invoiced yet.
ℹ️ Status Requirement

Only jobs with status Completed or Delivered are eligible for invoicing. Jobs in progress or cancelled are excluded.

Step 2 - Select Jobs to Invoice

For a single client invoice:

  1. Tick the checkbox next to one or more completed jobs for the same client.
  2. Consolidating multiple jobs into one invoice is recommended for end-of-period billing - it's easier for clients to reconcile.

For multiple clients:

  • You can select jobs from different clients, but RouteNio will create separate invoices for each client automatically.
💡 Batch End-of-Month Billing

At month end: filter by date range + Uninvoiced, select all jobs for each client, and create invoices in one click. What used to take hours takes minutes.

Step 3 - Create the Invoice

  1. With your jobs selected, click Create Invoice in the action bar (appears at the bottom of the page when jobs are selected).
  2. RouteNio generates a draft invoice with:
  • Each job as a separate line item
  • Description auto-filled from job type, pickup and delivery locations
  • Amount from the agreed route rate or job price
  • Tax applied according to your country configuration

Step 4 - Review and Adjust

The invoice preview opens. Review each line item:

  • Description - auto-generated from job data. Click to edit if you want to customise the wording.
  • Amount - pulled from the job's agreed price. Edit if adjustments are needed (e.g., fuel surcharge, wait time).
  • Tax - applied per your country settings. Toggle per line if any items are tax-exempt.

You can also add manual line items for extras not captured in the job (e.g., toll reimbursements, extra labour).

⚠️ Job-Level Price vs Invoice Price

Editing the price here updates the invoice only - it does not retroactively change the rate on the job record. The job record preserves the original agreed rate for reporting.

Step 5 - Send to Client

  1. Review the total, due date, and client email address.
  2. Click Save & Send - the invoice is emailed to the client immediately.

The client receives a professional PDF invoice with a Pay Now button (if Stripe is connected).

Tracking Invoice Status

After sending, the invoice appears in Invoices with the status:

The jobs linked to this invoice are now marked Invoiced and won't appear in future uninvoiced filters.
